Quest Group Executive Search and Staffing is on the hunt for a talented Admin Assistant/ Executive Assistant to support a director for a highly respected/ fast growing client!

Key Responsibilities:

  • Manage calendar, appointments, travel, and communications.
  • Coordinate/schedule internal and external meetings, ensuring necessary materials are prepared in advance.
  • Draft, proofread, and manage correspondence, presentations, and reports.
  • Track & organize documents, timelines, and key action items for operational initiatives.
  • Attend meetings and take detailed notes, ensuring timely follow-up and task completion.
  • Assist with the coordination of cross-functional projects
  • Serve as a liaison between the Director and other departments, vendors, and stakeholders.
  • Prepare and manage expense reports, purchase orders, and departmental documentation.
  • Maintain confidentiality at all times.
  • Support ad hoc administrative and operational tasks as needed.

Qualifications:

  • Associate’s or bachelor’s degree preferred.
  • 3+ years of experience in an administrative support role, preferably supporting senior leadership.
  • Strong organizational/time management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and scheduling tools.
  • Professional demeanor with a high level of discretion and integrity.
  • Ability to prioritize and execute multiple tasks efficiently.
  • Experience in a fast-paced, cross-functional environment a plus.
